Documents for Export

Thank you for visiting our blog page. It has been hot these days, being over 30 degrees (Celsius) all over Japan, so we are sweating just standing outside.

 

Today, I would like to share you about the required documents to deliver Japanese used trucks and machinery to you.

 

 

 

 

 

The Process of Export

 

At the first, I will simply explain the steps of how to buy. 

1.Find a truck or machinery you are interested in, and please make an inquiry to us first.

2.You can clear up your questions with our professional sales/shipping staffs. If you want to buy, we will negotiate various conditions of trading such as product price, payment currency, payment method, quantity, time of delivery. If you would like to use a container, we would also negotiate shipping style.

For example, CBU style (Complete Build Up), CKD style (Complete Knock Down).

 

 

 

3.After we come to an agreement perfectly, we prepare “Proforma Invoice” (Quotation Invoice with sales conditions, please see trade term for details http://yamada-co.jp/en/faq/#category03 ) and send you this invoice for your arranging a payment. You should read through and confirm the Proforma Invoice after you receive it, because it describes the quantity of goods, their value amount, sales conditions we agree, and other important condition on it.

 

 

4.When you receive and confirm the Proforma Invoice, please proceed to make a payment. Also be noted that payment has due date, basically in 2 days from issuing proforma invoice.

 

 

5.We will arrange a shipment after we confirm your full payment.

 

 

6.After you finally receive your vehicle, please rate our service. We will use your kind feedback to improve our service.

 

 

 

Documents for Export

I will expand on the documents we prepare and the step that the documents come up to you.

 

We must prepare three documents for Japanese Customs to declare your vehicle. There are Customs Invoice, Packing List and Shipping Instruction. 

 

・Customs Invoice is a document showing quantity, selling price, serial number, engine number, engine displacement, and terms of delivery.

 

・Packing List is describing each shipping package; the quantity, description of goods, and weight of the contents. In case of container, we have to describe the items in each container. And if parts are dismantled from the vehicle, we should write the parts we remove on packing list in detail.

 

・Shipping Instruction is an important document also for you, because it will be the basis of information showed on B/L or Waybill issued by a shipping company. 

 

 

Bill of Lading (B/L) is a acknowledge receipt of cargo. You can receive cargo with it when your vehicle arrives. Shipping Instruction includes the information such as shipper (the person who send a cargo), consignee (the person who receive a cargo), notify party (the person who receive a notice of arriving a cargo), booking number, vessel name, port of loading/discharge, estimated time of departure(ETD), freight payment terms (collect or prepaid), dimension (Length×Width×Height).

 

We will submit these documents to the Customs and get the permission to export. And then, we receive B/L copy after vessel leaving and we will check if there is nothing wrong in all descriptions. If you also confirm it is fine, we ask the shipping agency to have original B/L issued. After that, we receive the original B/L, then we send it with other required documents to you by courier. 

 

You receive the documents and the cargo arrives, you can pick up your vehicle.
